Select Event From Event List

Once you log into the SuiteSpot app, you can easily view and manage all the events associated with your booked suites. Here’s how the event listing and management process works:

  • After logging in, the Events page will be displayed with all events categorized as Live Events, Upcoming Events, and Past Events.
  • For live events, a "Live" label will be displayed for easy identification.
  • Users can view a list of all the events for which you have booked a suite. This list includes relevant event details such as:
    - Event Name: The name of the event.
    - Location: The venue or location where the event is held.
    - Start and End Dates: The dates indicating the duration of the event
  • Click on the event name to view further details, including any associated orders and menus

Pre-Orders Listed Under Event

Pre-ordering allows customers to place their orders in advance for a specific event or occasion, ensuring that the items they want are reserved and prepared ahead of time. 

With the SuiteSpot app, pre-orders can be made before the event day, giving suite owners and their guests the convenience of planning their experience without any last-minute hassle.
Key Notes: 

  • Pre-orders are only available during a specified time frame set by the venue. Once this period ends, orders can only be placed from the event day menu.
  • Items & Pricing on the pre-order menu may differ from the event day menu to accommodate planning and preparation.

Once you select an event, you can see all your confirmed orders for the event’s suite.

  • Users can view all the suites you have reserved for that specific event. 
  • For each suite, you can place new pre-orders, make changes to existing orders, or cancel orders as required within the cutoff times.
  • Each order is listed with details including:
  • Ordered Items: Item names and quantities of the items you’ve ordered with order number. Users can also view the status of their orders, whether they are open or closed.
  • Notes: Any special notes or comments you included when placing the order.
  • Modifiers: Any customizations or changes applied to the items.
  • Total Cost: The total cost of your order with deposit.

If an order is in Open status, the user can close the order by paying for the order. Users can also “Add More Items” if needed before placing the order. 

New Order Creation

If you want to place a new order for an event, follow these steps:

Start a New Order:

  • Select the event from the event list.
  • Navigate to the order detail screen and click on "New Order" to begin.
  • If orders have already been placed, they will be listed here for easy reference.

Browse the Menu:

  • Explore the event-specific menu by browsing through available food, beverages, or services, and select the items you want to order.

Add Items to Cart:

  • Each menu item will display details such as the name, description, price, and any available modifiers.
  • Select an item, choose modifiers (if applicable), adjust quantities, and add it to your cart.
  • Modify item quantities or remove items directly from the cart as needed.

Cutoff Time Reminder:

  • A visible cutoff time alert at the top of the screen will display the message "Order before [cutoff time]" to help you plan your orders in time.

Review Your Cart:

  • Click "View Cart" to review your selected items. You can add notes to individual items, adjust quantities, and view the updated total cost in real time.

Invite Guests to place order:

  • Suite Owners can invite guests to the same page to place their own orders. This makes it easy for everyone to contribute to the suite’s pre-order.

Place Your Order:

  • Confirm your selections and place your order.
  • Choose from payment methods by adding debit/credit cards or pay using stored value or select a saved card for convenience.
  • A confirmation message will be displayed once the order is successfully placed.




Once the order is confirmed, it will appear under the corresponding event in the Orders Tab, where you can review and make changes before the event’s cut-off time.

Managing and Modifying Orders for Active Events

After placing an order, you have the flexibility to review and modify your confirmed orders, as long as the event’s cut-off time has not passed. 

  • Navigate to the Orders Tab to see a list of all confirmed orders associated with the selected event.
  • Modifying Orders: You can modify your orders by adjusting item quantities (increase or decrease), adding, editing, or removing notes, changing or removing modifiers.

All changes will be reflected in real-time, and the total cost will update accordingly.

Cut-off Time for Pre-Order Modifications

  • Ensures that orders for an event can only be placed within a specified time frame (measured in Hours). Once the cut-off time is reached, users will no longer be able to place orders for the event.
  • You can freely modify your orders until the event’s cut-off time (Pre-Order end date). Once the cut-off time is reached, a notification message will be displayed saying further modifications will be prevented, but can view the existing pre-order.
  • Users will be able to see the cutoff times while placing orders for Pre-Orders. 

Managing Multiple Events and Suites

  • Customers can select any upcoming event they have booked to start the pre-ordering process. If you have booked multiple suites for different events, you can easily manage orders for all your events from one interface. You can select an event, view all associated orders, and modify them as needed
  • This process streamlines your ability to handle multiple events and suites, ensuring that you have everything ready for the event, with the ability to make changes up until the cut-off time.
