Sales By Item Report

The Sales by Item Report allows you to track the business’s sold items. See which items sell best, discover which are most profitable, and view other types of sales data on an item-by-item basis. It displays records of sales by UPC, including QOH. This report can be useful in calculating replenishment levels.

Criteria Selections for Sales by Item Report

Make entries in the following fields to determine report output:

  • Start Date: Enter the starting date you want to include in the report.
  • End Date: Enter the ending date you want to include in the report 

Note:

The Start Date and End Date fields can be left empty if you select a relative date option (Current Day, Previous Day, Current Month, Previous Month)

Saved Filters: 

The Saved Filters feature helps you work faster by allowing you to save frequently used report filters and reuse them anytime. Instead of re-applying the same filters repeatedly, you can save a filtered view and quickly apply it again when reviewing reports.

Saved filters are now available for the following reports:

  • Inventory Balance Report (IBR)

  • Sales by Item Report

  • Transfer Detail Report

  • Adjustment Report

You can now save filters that use quick date selections such as:

  • Today

  • Previous Day

  • Custom date ranges

Important behavior to note:
When a filter using a quick date button (such as Previous Day) is saved, the system stores the actual date range, not the dynamic button.

Example:

  • On 11/07, you select Previous Day, which displays data for 11/06.

  • You save this filter.

  • When you log in on 11/08 and apply the same saved filter, the report will still show data for 11/06, not 11/07.

This ensures saved filters always return consistent results, regardless of when they are reused.

Open a supported report.

Apply your desired filters (date range, item attributes, and other available options).

Save the filter with a custom name.

Select the saved filter anytime to instantly apply the same criteria.

Creating a saved filters: User can apply who can see the saved filters.

QOH View in Sales by Item Report

The Sales by Item Report now includes a QOH By option under Advanced Filters, allowing merchants to choose how Quantity on Hand (QOH) is displayed in the report.

The available options are:

  • Enterprise (Default) – Displays the total inventory across all stores and warehouses.
  • Location – Displays inventory based on the selected reporting context and locations where sales occurred.

Group By: Store

  • Enterprise: Displays total QOH across all stores and warehouses.
  • Location: Displays QOH for the corresponding store only.

Group By: Item / Master SKU

  • Enterprise: Displays total enterprise-wide QOH.
  • Location: Displays the combined QOH across stores only, excluding warehouse inventory.

Details

Here's the description of the fields included in the Sales By Item Report:

  • Event: To view all event details, including the start and end dates, and location, ensuring full visibility of transaction data linked to specific events.
  • Venue: The name of the venue where the sales occurred.
  • Store: The name of the store where the sales occurred.
  • Item ID: A unique identifier for the item sold.
  • Master SKU: The master stock-keeping unit (SKU) assigned to the item.
  • UPC: The Universal Product Code, a barcode representation of the item.
  • Product ID: An identifier specific to the product.
  • Product Name: Name of the product.
  • Item Name: The name or description of the item.
  • Item Type: Items can be classified into Store Item, Service, Package, Prepaid, Modifier, and Variant.
  • Department: The department to which the item belongs.
  • Category: A more specific category within the department.
  • Sub Category: A further subdivision of the category.
  • Style: The style or design of the item.
  • Color: The color of the item.
  • Size: The size of the item.
  • Brand: The brand or manufacturer of the item.
  • Season: The season or collection associated with the item.
  • Team: To categorize products based on different teams.
  • QTY Sold: The quantity of the item sold during a specified period.
  • Vendor: The supplier or vendor of the item.
  • Sales Before Discounts: Displays the sales before discount
  • Total Sales: The total sales revenue generated by the item.
  • Tax: The amount of tax collected for the item.
  • Discount Amt.: The total amount of discounts applied to the item.
  • Net Sales: The net sales amount after deducting discounts and taxes.
  • COGS: Cost of Goods Sold, the direct cost associated with producing or acquiring the item.
  • QOH: Quantity On Hand, the current inventory level of the item.
  • Unit Selling Price: The price at which each unit of the item is sold.
  • Cost Price: The cost incurred to purchase or produce each unit of the item.
  • Pending PO Qty: The quantity of the item on pending purchase orders that haven't been received yet.

This report provides valuable insights into the performance of individual items, helping businesses analyze sales trends, identify popular products, manage inventory, track costs, and make informed decisions to optimize their sales strategies.

Printing Reports

Users have the option to print reports on Console, 

  1. Navigate to Reports and select the report
  2. Select the Date Range that you wish to get the report for.
  3. Select filters that are necessary for your report. 

    Note: Default Settings will create a Report with all the necessary information, but if you want a more detailed report, add or remove filters. 

  4. Navigate to the Screenshot_2023-01-21_at_5.00.44_PM.pngPrint button on the top right corner of the screen, clicking on the button will show a popup window to choose the printing options.
  5. Make your selection and hit Print

Click Save.

Export/ Download Reports

Users have the option to download reports on Console, 

  1. Navigate to Reports and select the report
  2. Select the Date Range that you wish to get the report for.
  3. Select filters that are necessary for your report.

    Note: Default Settings will create a Report with all the necessary information, but if you want a more detailed report, add or remove filters.

     
  4. Navigate to the Screenshot Download button on the top right corner of the screen, By clicking on the button, the report will be automatically downloaded as an Excel file.

Note: If you have custom attributes enabled on your account, it will show a popup window to enter the email to which the report will be exported. Only the default settings/filters on the report will get exported in this case. Filters such as Start Date, End Date, and Group By are supported.
