Purchase Order (PO) Receipts

The PO Receipt Configuration feature in the Console allows merchants to customize their Purchase Order PDFs to improve readability and relevance by selecting and arranging specific fields. This guide provides step-by-step instructions on configuring the PO PDF templates.

The purpose of the feature includes:

  • Customize the fields displayed in the PO PDF to suit your business needs.
  • Eliminate irrelevant fields and reduce clutter, preventing long fields like SKUs or barcodes from wrapping onto multiple lines.
  • Visualize the changes in real-time with a live preview of the customized template.

How to Configure PO Receipts

Step 1: Access the PO Receipt Configuration

  1. Log in to the Console.

Step 2: Select Fields for the PO PDF Receipt

  1. To customize the fields:
    • Locate Custom Field 1, Custom Field 2 and Custom Field 3 under "Headers."
    • Use the dropdown menus in the Mapping section to assign custom fields like Size, Color or others.
      • Customizable Fields: Additional fields available for selection include:
      • Department
      • Category
      • Sub Category
      • Color (default)
      • Size (default)
      • UOM (default)
      • Style
      • Brand
      • Team
      • Item Alias
      • Product Name
  2. Other Default Fields: The below fields are included by default on the PO Receipts and cannot be customized:
    • Item ID
    • SKU
    • Item Description
    • UOM
    • Units
    • Unit Cost
    • Retail Price
    • Quantity Ordered
    • Total Units Cost
    • Total Retail
    • Tax
    • Discount
    • Total Amount

Step 3: Preview the PO PDF

  1. Click the Preview PDF button to see a preview of your template.
  2. The preview reflects:
    • Real-time updates based on selected fields.
    • Changes in layout due to content length (e.g., longer SKUs or barcodes will dynamically adjust the layout).Screenshot 2024-11-26 at 11.15.33 AM.png

Step 4: Save the Changes

  1. Once satisfied with the customization:
    • Click Save to store the configuration.
  2. The updated template will automatically apply to all future PO PDFs generated from the system.
