Entitlements are special capabilities and permissions granted to applications that are correctly configured to use them.

Enable entitlement to control user access to any functions /features. Before you enable entitlement, you must create entitlement rules that allow users to access the system. Otherwise, after you enable entitlement, users cannot access features.

Configure entitlement that defines which users can access various functions. You must have the System Administrator's permission to configure entitlements. In general, configuring entitlement depends on the user's role.

Below is the entitlement options retailcloud offer:

  • Location Entitlement
  • Product Entitlement
  • Promotion Entitlement
  • User Entitlement

    • If users are not entitled, then they can access all store data

Any combination of these can be required to determine if a user can view and access the system.

 

You can create entitlement rules by using the backend portal 'Console'.

How to Entitle a Product/Promotion/User to a Location?

Go to Settings →  Location Hierarchy Settings → Store

This section allows a user to create a store, assign it to a venue and a store manager as well as configure entitlements.

Creating a New Store

Go to Settings →  Location Hierarchy Settings → Store → Add Store.

Each store must have its own unique Store Name. This will show up in all reports and filters so you should name them carefully. If you try to create a store with an existing name a popup will be displayed asking you to confirm this activity.

Each store must be assigned to a Venue, the store will be associated with the venue warehouse and will receive its default settings from the venue setup unless overridden at a store level.

Store names cannot be changed or moved to a different venue once a store is created!

If your printer supports it, the StoreLogo will be printed on the receipts, the logo should be in a jpeg. format and be no larger than 126 x 97 pixels.

Each store must be assigned to an Administrative Employee who has a Store Manager role. If you have not already created an employee for this role you must do so first. The Store Manager assigned to this store may be modified at any time.

Under Receipt Settings, configure the receipt settings for your store. Receipt settings are input so that on sales transactions the headers, footers, and promotional messages are printed on the receipt.

The printer will print up to 5 Header Lines & Footer Lines, please limit each line to the character restrictions of your printer

Promotional Message of up to 500 characters can be added to display on the customer receipt.

Product Entitlement

This function has the ability to restrict the products available to sell at a specific store.

Note: If products are not entitled, then they will be available to all locations

Items that are already entitled to the store will be listed here in the grid.

Products can be manually created from the Master Item page or imported in bulk using the Item Import utility.

Add Item: Add Items manually from the Master Item page. Items created here will be automatically entitled to the selected store.

Item Import: Bulk import products using the Item Import function. Items imported here will be automatically entitled to the selected store.

Item Lookup: Lookup items that must be entitled to the specific store. 

From the Item Lookup page, select the items you will need to entitle and hit Entitle to Store button.

Promotion Entitlement

This function has the ability to have store-specific promotions.

Note: If promotions are not entitled, then they will be available in all locations.

Go to Settings →  Location Hierarchy Settings → Store

Select the Store and navigate to Promotion Entitlement Click on Discount Lookup. 2022-08-12_15_48_00-Window.png

Select the promotions and hit Entitle to Store.

User Entitlement

This function has the ability to restrict user access to only registers under certain stores. Users will be able to access all registers under entitled stores.

Go to Settings →  Location Hierarchy Settings → Store

Select the Store and navigate to User Entitlement Click on User Lookup to search and select the users which need to be entitled.

These users can only log into the store that they are entitled to. 

Venue Entitlement

This function has the ability to restrict the products/user available to sell at a specific Venue.

Note: If products are not entitled, then they will be available to all locations

Items that are already entitled to the venue will be listed here in the Product Entitlement grid.

Products can be manually created from the Master Item page or imported in bulk using the Item Import utility.

Item Import: Bulk import products using the Item Import function. Items imported here will be automatically entitled to the selected venue.

For entitling a user to a particular venue, navigate to User Entitlement Click on User Lookup to search and select the users which need to be entitled and click on the Entitle To Venue button.

These users can only log into the venue to that they are entitled. 

Warehouse Entitlement

This function has the ability to restrict the products/user available to sell at a specific warehouse.

Note: If products are not entitled, then they will be available to all locations

Items that are already entitled to the warehouse will be listed here in the grid.

Products can be manually created from the Master Item page or imported in bulk using the Item Import utility.

Add Item: Add Items manually from the Master Item page. Items created here will be automatically entitled to the selected warehouse.

Item Import: Bulk import products using the Item Import function. Items imported here will be automatically entitled to the selected warehouse.

Item Lookup: Lookup items that must be entitled to the specific warehouse. 

From the Item Lookup page, select the items you will need to entitle and hit Entitle to Warehouse button.

For entitling a user to a particular warehouse, navigate to User Entitlement Click on User Lookup to search and select the users which need to be entitled and click on the Entitle To Warehouse button.

These users can only log into the warehouse to that they are entitled.

Inactivating a Location/Store

Go to Settings →  Location Hierarchy SettingsStore

From the active store list, select the store you want to inactivate.

Toggle off the Activate Store button to inactivate the selected store.

Note: A location/store can only be inactivated once all the linked hierarchies (registers) are inactivated.
