Guidelines for Filling Out Device Set Up Forms - Retail

Please read this document containing information that will assist you in filling out the setup form and avoiding common mistakes. Taking the time to do so will save you time in the long run. The information here is set up to follow the sections of the form.

Company Settings

General Settings

Employee Clock In/Out - Enter Y to Enable Time & Attendance for employees.

Opening /Closing Bank Amount - Enter the maximum amount allowed for opening bank balance and the maximum amount allowed for the closing bank (WinPOS feature)

Enable Loyalty -  Enter to Enable Loyalty. A loyalty program will allow you to award points to customers for money spent or for units purchased.

Enable Gift Cards -  Enter Y to Enable Gift Cards, please make sure that you also place an order for gift cards if needed or complete the conversion form.

Enable Text Receipts - Enter Y to enable Text Receipts. Additional fees will apply.

Enable Invoicing - Enter Y to Enable Invoicing. An additional license will be required. This feature allows you to send customers invoices, either from house accounts or manually generated invoices. An optional payment link is available from select processors.

Enable Layaway - Enter Y to Enable Layaway. Additional fees will apply. (Only available in WinPOS)

Enable Ratings - Enter Y to Enable Ratings. This enables the 5-star customer in-store experience rating. It is available on select hardware (Pax A920, E600, and E800). 

Set nGauge Margin % Notifications At- Enter the target profit margin for the merchant overall. This feature allows the merchant to see items prices below that target profit margin % and adjust sales price if needed from the nGauge mobile app.

Open Drawer Tenders - Indicate which tenders will trigger the cash drawer to open (typically cash, check, split). Select from cash, credit, debit, gift cards, check, and split.

Enable Decimal Mode - Enter Y to Enable Decimal Mode. This allows sales to be made in decimal quantities. Commonly used in markets that sell by the pound, such as 3.23 lbs of tomatoes.

Enable House Accounts - Enter Y to Enable House Accounts. If customers will be paying by Store Credit and the merchant will collect payment in the future (either at the pos or using the invoicing module).

Enable Purchase Orders - Enter Y to Enable Purchase Orders. Purchase Orders are created on the web portal (CAS) and can be emailed directly to vendors. Receiving can be done off of the PO’s. Great time saver.

Enable Serialization - Enter Y to Enable Serialization. This feature is available for tracking the item serial numbers from receiving to sales. You can specify specific customer information at the sale, as well to help with the record-keeping. Great for tracking for warranties. Additional fees will apply.

Enable Online Store - Enter the online plan (Essentials, Professional, or Ultimate), to integrate online sales with instore.

Enable Customer Surveys - Enter Y to Enable Customer Surveys. Emailed receipts will include merchant-created survey questions.

Digital Data Migration

Has Existing Item List - Indicate Y if the merchant has an existing item list that can be imported

Has Existing Customer List - Indicate Y  if the merchant has an existing customer list that can be imported

Has Existing Gift Card Balances - Indicate Y if the merchant has an existing gift card program and will need to import the existing balances.

Has Updated QOH Balances - Indicate Y if the merchant will be updating inventory balances before going live.

Has Existing Supplier/Vendor List - Indicate Y  if the merchant has an existing supplier/vendor list to be imported

Has Quick Pick Pages - Indicate Y or N if the merchant will be needing quick pick pages.

Payment Information

Processor - Specify processor to be used.

Batch Close Time - Enter the Time to attempt to close the credit card batch. 

Tip Enabled - Enter Y to Enable Tip for transactions.

Surcharge Type - Specify which surcharge should be enabled (Cash Discount, Surcharge, or Dual Pricing)

Surcharge Amount - Enter the % or $ amount for the fee.

Surcharge On - Enter which tender types the merchant wants the surcharge fee to apply (credit, debit, check, gift).

CRM, Loyalty & Promotions

Promotions - Enter the Discount Name and % or $ rate. If variable rate, enter 0%. Example: Employee Discount 25%

Layaway Plan Fees (Only available on WinPOS)

This section is for the layaway plan details.

Enter Plan Name - Enter a Name for the Prepaid Plan.

Minimum Percentage/Amount - Enter the Minimum % or $ amount of the initial payment (or whichever one is the higher option).

Layaway Fee - Enter the Layaway fee to be charged for the transaction (this can be $0.00).

Cancellation Fee - Enter the % or $ amount assessed as a penalty for cancellation.

Enable STS - STS is the integration that will keep records of the layaway balances and payments. Enter Y to Enable STS. If STS is not enabled, the merchant is keeping track of their own layaway balances. Once STS is enabled, you cannot revert back to Not Enabled.

Loyalty Earnings - Specific how loyalty points will be earned. (Example 1 point of every $ spent (Max $100) or 1 point for every 1 item sold (in the category Coffee)

Loyalty Rewards - Specific how rewards can be redeemed. (up to 3 tiers). For example, 100 points earn $5 or 10 points earn a free item from the coffee category. 

Customer Groups - Enter the names of any customer groups the merchant may need to create. Customer groups often have special pricing or discounts that can be automatically applied at the time of the sale (such as a Wine Club or Wholesale Group) Group Name. 

Set Spend Groups - Specify the discount for each customer group. 

Other Settings

Backup Settings - Specify Backup location settings for the POS data. This allows the merchant to automatically create a backup to a remote or local site by selecting the required option (local, Ftp, Sftp or DropBox). Also, specify frequency. This is only available on WinPOS.

Units of Measure - Enter the name of the Measurement Unit and the quantities. This is the # of items in the group (such as a case) as purchased from the vendor, such as “Beer Case” Q24.

Cash Payout Codes - Enter the Cash Payout Codes. This is the code, such as “Lottery” or “Bottle Deposits” for quick access on the sales screen at the POS.

Cash Receipt Codes - This is a customized label to select when cash is received at the register to help keep a record of what occurred. The label name appears on your Daily Sales Report.

EBT Eligible Depts - Enter the department names that will have EBT eligible items. When flagged, any items sold from these departments will be EBT eligible.

Enable Age Verification - Enter the department, category, or subcategory name that will flag items as requiring age verification. These items will prompt the cashier to check the customer's age when they purchase the items such as alcohol, cigarettes, or vape products.

Arrange Item By - Allows merchants to arrange the default item screen, by any of the Classifications (Department, Category, subcategory) or Attributes (Size, Color, Brand, Vendor). By default, items are arranged by the Style attribute. This option is only available on TabPOS.

Reorder Level Settings  - Specify the Reorder Level for use on the Reorder Level Report (typically this will be # of days stock that the merchant wants on their shelves, such as 14 days) 

Has Force Quantity/Weight - Indicate Y if the merchant will have items that will be flagged for Force Weight or Quantity so that when sold, the pos will look to the scale for the weight (or quantity).

Has Deli Label SKUs - Indicate Y if the merchant has items that will have Deli Label SKUs.

Has Expiration Dates on SKUs - Indicate Y if the merchant has items that will have an expiration date embedded in the barcode (requires Pax A920 and i360 Inventory application).

Enable Print on Suspend -  Indicate Y to enable the option to print the Suspended Transaction Receipt.

Enable POS House Payments -  Indicate Y if you will access payments on the POS for House Accounts (Store Credit).

Enable Auto Package  - Indicate Y if the merchant will create package items (2 or more items that when sold together with a reduced price)

Enable Quickbooks Online - Indicate Y for set up of Quickbooks online integration.

Has Item Level Deposits - Indicate Y if you have items with Item Level Deposits.

Enable Email Alerts - Indicate Y if the merchant wants to enable email alerts, which automatically send an email when certain events happen (from employees not clocking out at end of day, PO’s need approval, inventory levels).

Enable Disclaimers - Enter Category which will print a disclaimer on the receipt (For WinPOS Only).

Enable Sold Tags - Enter Category which will print sold tags  (For WinPOS Only).

Enable Delivery Receipts - Enter Category which will have the option to print full page delivery receipts in addition to sales receipts  (For WinPOS Only).

Cart Settings

Enable Negative QOH - Enter Y to Enable Negative QOH which allows you to sell items that have 0 or negative QOH.

Enable CRM Builder Prompt - Enter Y to Enable CRM Builder Prompt,  which prompts the cashier to add the customer to the sales transaction.

Enable Verified Refund - Enter Y to Enable Verified Refund which allows for refunds only after entering a  valid sales transaction number.

Enable Auto Logout - Enter Y to Enable Auto Logout. This will logout the employee after each sale and launch to the login screen (Servio Only).

Mandatory Customer to Cart - Enter Y to Enable Mandatory Customer to Cart which will force the cashier to add customers to a sales transaction

Enable Multi-Item Discount - Enter Y if the merchant will have Multi-Item Discounts (such as buy 1 of $10, Q2 for $18, etc)

Tip on Glass - Enter Y to Enable Tip on Glass and tip will be entered on the TabPOS.

Hardware Settings

Primary Receipt - Indicate what printer model to print receipts.

Secondary Receipt - Indicate what printer model to set up as a Secondary Printer.

Enable i360 for Warehouse Mgmt with Exp Date - Enter Y if you want to enable 1360 for warehouse management with the expiry date.

Enable Scale - Enter Y to Enable an integrated scale.

Enable CDS - Enter Y to Enable CDS, allow the merchant to set up the customer display screen.

Enable LabelIt for Custom Barcodes - Enter Y to Enable LabelIt for designing and printing custom barcode labels. 

Digital Marketing Settings

CDS - Digital Display Resting Screen - Indicate Text/Image/Carousel/Company Logo to be displayed on the CDS resting screen.

Display Text - Enter the Text to be displayed.

Carousel Item ID - Enter the Carousel Item ID of the Item to be displayed.

Logo URL - Enter the company logo URL

Web View URL - Enter the web view URL
